HR Onboarding Specialist VA

Position responsibilities

Ensures new hires have a smooth introduction to the company. This VA handles the paperwork and orientation setup for new employees, making them feel welcome and informed from day one​​.

Our HR onboarding specialist VAs can handle everything below and more:

  • Prepare onboarding documents and packets (offer letters, tax forms, NDAs) and guide new hires through completing them​.
  • Schedule orientation sessions and training for new employees, and coordinate with IT to ensure equipment and accounts are ready for the hire​.
  • Introduce new hires to company policies and the employee handbook, making sure they understand essential information and have completed all required steps​.
  • Update employee data in the HRIS (Human Resources Information System) – for example, entering new hire details, promotions, leave balances, or contact changes​.
  • Organize and maintain digital personnel files, ensuring documents like contracts, performance reviews, and sick leave records are filed correctly and easy to retrieve​.
  • Assist with regular record audits to make sure all HR files are current, complete, and compliant with data retention policies​.
